Kars on King Displayer and Sponsor Form

The City of Oshawa reserves the right to approve or deny an organization from participating at it's events. Displayers must be non-profit organizations and may not sell services or products without the permission of City of Oshawa Events. This agreement is null and void until it is authorized by the Supervisor, Events and Community Engagement, or their designate.

Organization/Association/Business Information:

I, the undersigned, acting as the duly authorized representative for the community group or company named below:

(hereafter referred to as “Community Group or Company”), agree to the following terms and conditions as set out in this Agreement, and as contained in Schedule A - Additional Terms and Conditions of Agreement.

Main Contact

This person will be the main point of contact. They will be responsible for sending the insurance certificate, signing the form, sharing event information with their organization, and receiving parking passes.

All displayers and sponsors must provide a Certificate of Insurance with a minimum of $2 million in liability insurance coverage, which names the City of Oshawa as additionally insured. If required, the City Hall address can be listed on the certificate. (50 Centre St. S. Oshawa, ON L1H 3Z7)

Event Details:

Kars on King - Downtown Oshawa - King St. and Simcoe St.

Date: Friday, August 22

Event Time: 3:30 p.m. to 9 p.m.

Set up Time: Roads will close at 1 p.m. All displayers and sponsors are to be on-site at 1 p.m. to drop-off supplies and must be set up by 2:30 p.m. Full details will be provided closer to the event date.

Day of Event Contact:

This contact is responsible for the set up and tear down of the space, and will be added to our list of contacts for the day of the event. Their contact information may be used for last minute changes and weather notifications.

Parking:

There is limited access to the event footprint. Only performers/entertainment, accessible parking, staff, displayers and sponsors may park in reserved spaces. There are a limited number of spaces. 

Parking passes are distributed by mail or pick-up. Please do not duplicate passes. If you need more passes, please contact [email protected].

For the safety of event participants, vehicles will not be permitted to leave the event footprint without assistance from Events Staff, and or when it is safe to do so.

This form may contain personal information as defined under the Municipal Freedom of Information and Protection of Privacy Act. This information is collected under the legal authority of the Municipal Act, 2001, S.O. 2001 c.25, as amended. This information will be used and maintained by the City of Oshawa to process the Kars on King Displayer and Sponsor Application.
